Audit your CR before renewing it

A practical record comparison for CR renewal, licences, address evidence, ownership and linked employer or banking records.

The direct answer

Before renewing, compare the registered business with the business that actually operates. Build a list of discrepancies, identify the authority responsible for each record and retain evidence of the final outcome. Renewal is an opportunity to correct the file, not merely repeat its previous contents.

Compare facts before dates

Start with the current CR and list legal name, activities, address, owners and signatories. Compare these with constitutional documents, the bank record, occupancy evidence and the services shown on the website. Mark each item confirmed, different or unknown. An unknown is a question to resolve rather than a reason to copy last year’s answer. Keep the review dated so the next person understands which evidence was available and which company changes occurred afterwards.

Separate the related obligations

Create distinct rows for the CR, each sector approval, address agreement and relevant permit. Identify the authority or counterparty, responsible person, validity evidence and unresolved conditions. A renewal receipt for one record should not close all the rows. Confirm current procedures with Sijilat and the relevant sector or immigration authority. Avoid assuming that the same sequence or document list applies to every company or every renewal event.

Check ownership and control

Ask whether shareholders, ultimate controllers or signatories changed since the previous review. An indirect parent transaction can matter even when the immediate shareholder name stays the same. Keep supporting ownership documents and decisions linked to the intended amendment or UBO question. Qualified advisers should assess any legal interpretation required. The useful output is an evidence gap list, not an unsupported declaration that the ownership record is compliant.

Close with a record someone else can follow

Retain the authority outcome and updated record, along with proof of any related bank or employer notification. Assign a responsible person to outstanding questions and distinguish them from completed actions. Update the obligation calendar using the new evidence. This makes the next review easier and gives banks, auditors and future advisers a coherent history rather than an unexplained folder of receipts and screenshots.

Questions, answered

Before you take the next step

Can this checklist replace the authority requirements?

No. It organises preparation. Confirm the actual renewal, amendment and sector requirements for the company through current official sources and qualified advisers where needed.

Should old company documents be deleted after renewal?

Retain appropriate historical versions with clear dates and access controls. They can explain prior transactions, ownership decisions and the change from the earlier record.
